GoHighLevel automation that follows up faster than your team can

Most GoHighLevel accounts become a pile of workflows nobody fully understands. I map how leads actually move through your business, then rebuild GHL around it: pipelines, workflows, calendars and AI. Every lead gets a reply in minutes, and nothing depends on someone remembering.

Diagnosis

Sound familiar?

  1. 01

Leads go cold before anyone replies

Form fills and missed calls sit for hours. By the time someone calls back, the lead has booked with whoever answered first.

  2. 02

    Workflows nobody dares to touch

Years of stacked triggers, duplicate tags and half-finished automations. Changing one thing breaks three others.

  3. 03

    The pipeline doesn't match reality

Stages are guesses, so reports are guesses. You can't tell which source, campaign or rep actually produces revenue.

  4. 04

Every client account is set up differently

For agencies: there's no standard snapshot, so onboarding a new sub-account means rebuilding from memory.

Scope

What I build

  • S-01.1

    Speed-to-lead system

Instant SMS and email replies, missed-call text-back, round-robin assignment and escalation when nobody picks up.

  • S-01.2

    Pipelines that mean something

Clear rules for entering and leaving each stage, so your reports reflect what's really happening.

  • S-01.3

    Nurture & reactivation

Follow-up sequences, no-show recovery and database reactivation, with clean tags and custom fields.

  • S-01.4

    Booking & reminders

Calendars, confirmations and reminders that reduce no-shows without annoying anyone.

  • S-01.5

    AI inside the account

Conversation AI and Voice AI set up with guardrails, plus custom AI steps through webhooks when the built-in tools fall short.

  • S-01.6

    Snapshots & SOPs

For agencies: a documented snapshot you can deploy to every new client in minutes.

Method

How the engagement runs

Before touching a single workflow I audit the whole account: every trigger, tag, custom field and integration, drawn as one map. Once you can see the whole building, most of the fixes are obvious. The rest is careful rebuilding, one wing at a time, without taking the account offline.

  1. 01

    Survey

I map how work actually moves today: every tool, handoff, spreadsheet and inbox. You get the map in writing before anything is built.

  2. 02

    Blueprint

A scoped plan: what gets automated, what stays human, what it connects to and what it will cost to run. You sign off before I build.

  3. 03

    Build

Delivered in stages your team can test with real data, with error handling and logging from day one rather than bolted on later.

  4. 04

    Handover

Documentation and a recorded walkthrough, so your team can run it and change it. Your accounts, your data, your system.

Questions

Questions people ask

Can you fix our existing GoHighLevel account, or do you start from scratch?

Usually I fix it. I audit first, keep what works and rebuild only the parts causing problems. Starting over is only worth it when the account is small or truly beyond repair, and you'll know which before any work starts.

Do you work with agencies and white-label accounts?

Yes. I can build inside your agency account, create snapshots for your sub-accounts and document everything, so your team can support clients after handover.

Can GoHighLevel's AI answer our leads?

Conversation AI and Voice AI handle first replies, FAQs and booking well when they have tight instructions and clear hand-off rules. I set those up, test them against real conversations and send anything unusual to a person.

What if GoHighLevel can't do what we need?

Then it connects to something that can. I use webhooks, n8n or custom code to bring in other tools, run AI steps or sync data that GHL doesn't handle natively.

How long does a GoHighLevel project take?

A focused fix like speed-to-lead can go live within a week or two. A full account rebuild or agency snapshot usually takes several weeks. You get a written scope and timeline before anything starts.
