S-04Service · Migration

Move from Zapier to n8n without breaking a thing

Zapier charges per task, so the automations that save you the most time also cost the most to run. n8n bills per workflow execution, or nothing beyond hosting if you self-host. I migrate your Zaps to n8n in stages, test old and new side by side, and switch over only when the results match.

Diagnosis

Sound familiar?

  1. 01

Your Zapier bill scales with success

More leads, more orders, more tasks. The invoice grows exactly as fast as the business.

  2. 02

    Multi-step Zaps are getting expensive

Every action step counts as a task on every run, so detailed workflows cost the most.

  3. 03

You've hit the limits of Zaps

Loops, complex branching, custom code and AI steps are awkward or impossible.

  4. 04

    Migration feels too risky

Dozens of Zaps touch customers and money. Nobody wants to be the one who breaks invoicing.

Scope

What I build

  • S-04.1

    Zap inventory & cost map

Every Zap listed with its trigger, apps, monthly task usage and what it would cost to run on n8n.

  • S-04.2

    Migration plan

Workflows grouped and ordered by risk, so low-stakes automations move first.

  • S-04.3

    Rebuilt n8n workflows

Consolidated where it makes sense: several related Zaps often become one n8n workflow.

  • S-04.4

    Parallel testing

Old and new run side by side on real data until the outputs match.

  • S-04.5

    Cutover & rollback plan

A staged switch, with a clear way back if anything looks wrong.

  • S-04.6

    Hosting setup

n8n Cloud or self-hosted, with backups, monitoring and access control.

Method

How the engagement runs

A migration is a renovation, not a demolition. I survey everything that's running, move it in phases, and keep the old system standing until the new one has proven itself on real data.

  1. 01

    Survey

I map how work actually moves today: every tool, handoff, spreadsheet and inbox. You get the map in writing before anything is built.

  2. 02

    Blueprint

A scoped plan: what gets automated, what stays human, what it connects to and what it will cost to run. You sign off before I build.

  3. 03

    Build

Delivered in stages your team can test with real data, with error handling and logging from day one rather than bolted on later.

  4. 04

    Handover

Documentation and a recorded walkthrough, so your team can run it and change it. Your accounts, your data, your system.

Questions

Questions people ask

How much can we save by moving from Zapier to n8n?

It depends on your task volume and how many steps your Zaps have. The inventory step gives you a real before-and-after estimate from your own usage before you commit to migrating anything.

Will there be downtime?

No planned downtime. New workflows run in parallel with the old Zaps and only take over once they've produced matching results.

Does every Zap need to move?

No. Some simple, low-volume Zaps are cheaper to leave alone. The plan focuses on the ones where moving saves money or unlocks something new.

Is n8n harder to maintain?

It's more powerful, so it rewards structure. You get documented workflows, alerts on failure and a short walkthrough, so your team knows where everything lives.
