n8n automation, built to survive real-world data

n8n is the most flexible automation tool you can own, and the easiest one to turn into spaghetti. I design n8n workflows the way an architect designs a building: structure first, then rooms, then finishes. The result handles bad data, retries on failure and tells you when something needs a person.

Diagnosis

Sound familiar?

  1. 01

    Automations fail silently

A webhook times out or an API changes, and nobody notices until a client complains.

  2. 02

    Costs climb with every step

Per-task pricing punishes multi-step workflows. The more useful the automation, the more it costs to run.

  3. 03

Your data lives in six places

CRM, spreadsheets, forms, invoices and inboxes that never quite agree with each other.

  4. 04

    AI experiments never reach production

The prompt works in a chat window, but there's no reliable way to run it on every new record.

Scope

What I build

  • S-02.1

    Workflow architecture

Sub-workflows, shared credentials and naming conventions that keep a growing n8n instance readable.

  • S-02.2

    Error handling & alerts

Retries, fallback paths and Slack or email alerts, so failures are loud instead of silent.

  • S-02.3

    CRM & data syncs

Two-way syncs between your CRM, database, spreadsheets and billing, with deduplication built in.

  • S-02.4

    AI agent workflows

Claude or OpenAI steps for classification, extraction, drafting and routing, with structured outputs you can trust.

  • S-02.5

    Hosting & maintenance

n8n Cloud or self-hosted on your own server, with backups, updates and access control.

  • S-02.6

    Documentation

A plain-English map of every workflow: what triggers it, what it touches and who to call.

Method

How the engagement runs

I draw the whole system first (every trigger, app and data handoff) before opening the n8n canvas. That map becomes your documentation. It's also how I catch the edge cases that make or break automation in production: duplicates, partial failures and rate limits.

  1. 01

    Survey

I map how work actually moves today: every tool, handoff, spreadsheet and inbox. You get the map in writing before anything is built.

  2. 02

    Blueprint

A scoped plan: what gets automated, what stays human, what it connects to and what it will cost to run. You sign off before I build.

  3. 03

    Build

Delivered in stages your team can test with real data, with error handling and logging from day one rather than bolted on later.

  4. 04

    Handover

Documentation and a recorded walkthrough, so your team can run it and change it. Your accounts, your data, your system.

Questions

Questions people ask

Should we use n8n Cloud or self-host?

n8n Cloud is the fastest start and removes server maintenance. Self-hosting gives you full control over data and cost at scale. I'll recommend one based on your volume, how sensitive your data is and who will look after it.

Can you take over n8n workflows someone else built?

Yes. I audit what's there, document it, fix what's fragile and flag what should be rebuilt, all before changing anything in production.

Is n8n better than Zapier or Make?

For complex, high-volume or AI-heavy workflows it usually is. It's more flexible, and n8n bills per workflow execution rather than per step. For a handful of simple automations, Zapier or Make can be the better fit. I use all three and will tell you honestly.

Can n8n run AI agents?

Yes. n8n has native AI nodes and can call Claude, OpenAI and other models directly. I build agents that classify, extract, draft and route, with structured outputs and human review where it matters.
